As part of Willamalane's mission to deliver exceptional parks and recreation to enrich the lives of everyone, Willamalane offers various services, including this website and other electronic offerings (collectively referred to as the “Services”). Some services require you to provide personal information, such as your name and contact information, and some automatically collect information from your device, such as geolocation and browser information. This information is used to learn the number of users of our Services, where Service users are from, which parts of the Services are of most interest to Service users, and other factors that will help improve the Services.
As used in this Privacy Policy, “personal information” applies only to information, alone or in combination, that can identify you individually.
This Privacy Policy does not apply to any third-party site, application, or services linked through our website. Additionally, this Privacy Policy does not apply to any third-party site or service linked to our website or recommended or referred by our website, our products or services, or our staff. Willamalane encourages you to be aware when you leave the services and to read the privacy notices and terms of use for each site that collects personal information. This Privacy Policy applies only to personal information collected by or on behalf of Willamalane.
Information Collected:
Account Information
When you (or a third party on your behalf) create an account with Willamalane, some of our services require you to provide us with at least your name, email address, and/or user ID, head of the household status, gender, phone number, address, birthday, and password. You may also provide us with additional demographic information. During this process, you agree to this Privacy Policy, which governs how Willamalane treats your information.
Payment Card Information
When you utilize the Services, you may be asked to provide payment card details. To conduct online transactions such as program registration, purchasing event tickets, etc., Willamalane uses a third-party scheduling and registration software. All credit cards and other payment information transmitted will be protected by encryption technology, provided the user’s browser is properly configured and the computer is operating correctly. The encrypted information is shared only with Willamalane’s bank and a credit card clearinghouse, which are secured servers. The bank, the clearing house, and registration software comply and are certified annually with Payment Card Industry Data Systems Security (PCI DSS). No Willamalane taff has access to any payment card information.
Interacting with Willamalane
You provide personal information when you interact with Willamalane. For example, when you contact Willamalane by email, Willamalane may collect your email address and any other personal information you provide. When you subscribe to one of our electronic newsletters, you must provide your name and a valid email address. If you participate in a Willamalane promotion, you may be required to provide certain contact information. You may also provide your address, telephone number, and organizational affiliation. If you apply for employment online, Willamalane will collect personal information such as your name, address, resume, and other employment-related information. However, Willamalane uses this information solely for consideration of your application.
Using Web-related Services
Willamalane collects certain information automatically when you use the services. For example, your device’s geolocation information may be collected. (Geolocation information is encrypted and generally not subject to public records requests.) Willamalane also receives the internet protocol (IP) address of your computer, smart device, or the proxy server or router that you use to access the internet, operating system details, type of web browser, mobile device details (including your mobile device identifier provided by your mobile device operating system) and search data.
Cookies and Web Beacons
Willamalane may automatically collect certain information through “cookies.” Cookies are small data files stored on a user's hard drive at the request of a website to enable the site to recognize users who have previously visited it and retain certain information, such as customer preferences and navigation history. If Willamalane combines cookies with or links them to any of the personal information, Willamalane would treat this combined information as personal information. If you wish to block, erase, or be warned of cookies, please refer to your browser instructions to learn about these functions. However, if your browser is set to reject cookies, some of the features of the Services may not function.
Aggregate, Non-Personal Information
Willamalane collects certain aggregate information, including statistical information about how users access and interact with the Services (e.g., which Service features and web pages are most accessed, how many people use our Services, which technical issues affect our users, etc.). This information cannot be used to identify you individually, though Willamalane may link this information to your Willamalane profile. This Privacy Policy does not limit how Willamalane may use aggregate or non-personal information.
Information from Children Under 13
Willamalane complies with the requirements of the Children’s Online Privacy Protection Act (“COPPA”) and the Federal Trade Commission’s rule interpreting COPPA (16 CFR § 512). The Services are not directed at children, and Willamalane does not knowingly collect any personal information through the Services from children under 13 years of age. If Willamalane learns that a child under age 13 has provided us with personal information, Willamalane will delete this information from our databases.
How Willamalane Uses Your Personal Information
Consent to Willamalane
By providing personal information to Willamalane when you create or update your account and/or interact with the services, you are expressly agreeing to our use and processing of your personal information as set out by this Privacy Policy. You can withdraw or modify your consent to our continued collection of your personal information by changing your account settings, closing your account, and/or deleting the services from your device(s). Willamalane will retain previously collected data in accordance with its data retention policies and applicable laws.
Communications from Willamalane
Willamalane communicates with you through email, notices posted through the Services, and other means available through the Services, including mobile text messages. Examples include:
- Initial communications: Informing you how to use the Services, including any new features.
- Service communications: Alerting you about the availability of the Services, confirming purchases, and providing information about other issues related to our Services. You cannot opt out of receiving service messages from us.
- Promotional communications: Sharing information about Willamalane’s products and services.

Providing, Developing, and Customizing the Services
Willamalane uses your personal information to provide you with the Services you have requested. Willamalane may also use your personal information to improve features of the services, such as when you provide feedback to Willamalane staff. Willamalane also uses this information to track potential problems and trends and to customize our support responses to better serve you. Willamalane does not share personal information provided during customer service interactions for third-party advertising purposes without your permission.
Willamalane may combine the personal information you provide through interactions with Willamalane and Willamalane’s service providers to provide a more customized and relevant experience. For example, if you contact us from an email address the district has on file, Willamalane will note that communication in your customer profile.
When registering for a Service, Willamalane uses your identifying information to set up your account. Willamalane also uses personal information to enforce and protect its rights, including in connection with electronic citation processing.
How Willamalane Shares Your Personal Information
Service Providers
Willamalane will not rent, sell, or share personal information with third parties without your permission. Willamalane protects your personal information and will only provide it to third parties: (1) as stated in this policy, (2) to provide you with services or products you order, and (3) as permitted or required by law. For example, Willamalane may share your personal information with ActiveNet for the purpose of facilitating online payment information. These third parties have limited access to your information only to perform these tasks on our behalf.
Disclosures Required by Law or for Compliance Reasons
Willamalane may need to disclose your personal information to law enforcement agencies, but only when compelled by law, subpoena, or other legal processes. In addition, Willamalane may disclose certain personal information if Willamalane has a good faith belief that disclosure is reasonably necessary to:
- Enforce the Terms of Service or Willamalane ordinances, investigate and defend ourselves against any third-party claims or allegations, or protect the security or integrity of our Services.
- Exercise or protect the rights, property, or safety of Willamalane personnel, users, or others.
- For Student Records Information Requests, WIllamalane follows the Family Educational Rights and Privacy Act (FERPA).
Public Records Laws
You should be aware that Willamalane is a public agency and is subject to public records laws. The personal information you provide may be subject to disclosure pursuant to public records laws unless the information is exempted by law. You should not provide personal information if you are concerned about disclosing your information under those laws.
Security
Willamalane takes precautions to protect your personal information. Willamalane has established appropriate physical, electronic, and managerial procedures to safeguard and secure the information collected online to prevent unauthorized access, maintain data accuracy, and ensure the correct use of information. However, given the nature of the internet and the fact that network security measures are not infallible, Willamalane cannot guarantee the security of your information.

Opting Out
If you no longer wish to receive communications from Willamalane, you can do so by:
- Promotional communications: Opt out of promotional messages by unsubscribing from your email received, or contact Willamalane.
Viewing or Modifying personal information
Access to an individual's personal information can be reviewed in ActiveNet by doing the following:
- Enter the appropriate login information for the ActiveNet account (username and password)
- Edit personal information by clicking the “My Account” tab.
Do Not Track
Do Not Track (“DNT”) signals are a feature offered by various browsers which sends a signal to a website not to track the user when he or she leaves that website. Willamalane does not respond to DNT signals at this time.

Links to Other Websites
The Services may contain links to other sites. Willamalane is not responsible for the privacy practices or content of these other sites. Willamalane encourages you to be aware when you leave the Services and to read the privacy statements and terms of use for each site that collects personal information. This Privacy Policy applies solely to information collected by or on behalf of Willamalane.
Notification of Changes
Willamalane may occasionally change this Privacy Policy. If the district makes material changes in the way Willamalane treats your personal information, the district will provide notice to you through the Services or some other means, such as email to the email address used for your Services account. Please review the changes carefully. If you agree to the changes, simply continue to use our Services. If you object to any of the changes, please delete the Services from your devices and stop using the Services. Our current Privacy Policy applies to all information Willamalane has about you and your account. Using our Services after a notice of changes has been communicated to you or published on our Services constitutes consent to the changed terms or practices.

Willamalane provides services in Lane County, Oregon, U.S.A. The Services are not intended for users based outside the United States. If you reside outside the United States, you acknowledge that your personal information is processed within the United States, and you agree to such processing as described in this Privacy Policy.
